Understand the requirements.

However, it is important to note that each state views online education differently— in some states, it is classified as homeschooling, while in others, it is regarded as an extension of alternative schooling.
Know that homeschool laws vary by state.
Homeschool laws vary significantly from state to state, with each state establishing its own requirements for curriculum, recordkeeping, assessments, and oversight. Some states, such as Texas and Oklahoma, have minimal regulations and allow families to homeschool with little government oversight. Others, such as New York and Pennsylvania, have more comprehensive requirements, including submitting educational plans, maintaining attendance records, and completing standardized testing. Because homeschooling requirements can change, it is important to understand and stay up to date with the laws and regulations in your state to ensure ongoing compliance.
Get your requirements in writing.
When speaking with your state homeschool representative, take notes throughout the conversation. At the end of the discussion, thank the representative for their time and let them know you want to ensure you fulfill all state reporting requirements. Explain that you will send a follow-up email summarizing the agreed-upon requirements so they can confirm your understanding.
Following up with a confirmation email benefits both you and the representative for several reasons:
Creates an audit trail.
After speaking with the representative, send a follow-up email summarizing the agreed-upon requirements. For example:
"Thank you for speaking with me today. Based on our conversation, my understanding is that I need to complete steps A, B, and C. Please let me know if I have misunderstood or if there are any additional requirements."
This gives the representative an opportunity to confirm your understanding or clarify any missing information. If you do not receive a response, follow up in the same email thread within a few days.
Keeping this documentation can also be helpful if questions arise later. For example, if you are later informed that an additional requirement (such as step D) was expected, you can politely reference the email thread and explain that it was not discussed in your original conversation. You can then confirm that you will complete the additional requirement going forward, if applicable. Maintaining a clear record of communication helps prevent misunderstandings and provides a reliable reference throughout the reporting process.
Resolves misunderstandings in a timely manner.
Emailing the representative a summary of the agreed-upon action items allows them to verify the information and correct any misunderstandings. For example, you might write, "As discussed, I will send a progress report to this email address once each semester." If the representative replies, "We actually need a progress report each quarter," you can easily make the correction immediately, preventing confusion and avoiding issues later in the reporting process.
Provides ease of reference.
For example, you may meet with a representative during the summer and, months later, need to remember the reporting requirements or agreed-upon next steps. Rather than searching through paper notes or relying on memory, you can simply refer back to the email thread for a complete record of the conversation and any action items.
Ensures that you are speaking with the right person.
It can sometimes take several conversations before reaching the appropriate contact. Maintaining a single email thread with everyone involved—including their names and titles—provides a clear record of who was contacted, what information was shared, and any decisions or instructions that were provided. This makes it easier to reference previous conversations and ensure consistency throughout the reporting process.
